ANNUAL GENERAL MEETING
Mississaugua Golf & Country Club – October 20, 2015
President Heather McGillis called the meeting to order at 10:25 am
GUEST SPEAKER : Carol Robinson introduced and thanked our guest speaker – former Mayor of Mississauga Hazel McCallion
MINUTES OF THE 2014 AGM : These had been previously circulated in the September Currents. They were accepted without amendment (Proposed Brian Dixon. Seconded Janet English )
PRESIDENT’S REPORT: Heather thanked the members of the Management Committee and other club members who had made her experience as the club’s first female president a pleasure. She mentioned that this had been a fact finding year with two major surveys being done.
APPROVAL OF 2014-2015 FINANCIAL STATEMENTS AND 2015-2016 BUDGET : In Craig Wickett’s absence Denys Reades spoke to the reports which were circulated on every member’s chair. A motion to accept the 2014-2015 Financial Statement was made by Denys and seconded by Janet Murdoch. Denys proposed the 2015-2016 budget be accepted as presented. Seconded by Harvey Sheppard. Passed without discussion.
PROPOSED AMENDMENTS TO BY-LAWS: These had been previously circulated in the September Currents. Melanie Evans read the By-Laws to members from the screen. Please see appendix attached.
Amendment to Section 2.8 – Gender Ratio and 2.10 Priority of Acceptance . A motion to accept the amendments to both sections 2.8 and 2.10 was proposed by Tony Colenbrander . Seconded by Mary Lou Dresser. Passed without discussion.
Amendment to Section 2.11 – Membership. A motion to accept the amendment was proposed by Dorothy Kent . Seconded by Elma Smiley. Passed without discussion.
NOMINATION AND APPROVAL OF NEW DIRECTORS: Past President John Davies announced that there were no further nominations within the required period for new Directors. A motion that the list of candidates be accepted was proposed by Pat Snyder and seconded by Susan Van Every. Passed without discussion.
LIFETIME MEMBERSHIP PRESENTATION: Eardley Samuels was presented with a plaque as the first recipient of a Lifetime Membership for his efforts in helping launch the Credit River PROBUS Club.
NEW PRESIDENT’S REMARKS: Denys Reades made a brief introductory presentation and commended Heather for the excellent job she had done as President. Heather presented Denys with a President’s pin. Denys presented Heather with a Past President’s pin .
The meeting was adjourned at 11:35 am.
Appendix 1: By Law Revisions
2.8 Gender Ratio: Neither men nor women may represent more than 60% of the Club’s total membership. If an opening arises, a member in waiting shall be accepted only if acceptance of that Member does not cause the percentage of either men or women to exceed 60% of the total membership. (Members in Waiting will be accepted in sequence, according to the date on which their application was approved, subject to maintaining the gender ratio without regard to marital status.) This last sentence will be moved to ByLaw 2.10 as shown here.
2.10 Priority of acceptance. Members in Waiting shall be accepted into full membership in sequence based upon the date of their application’s approval without regard to marital status. Subject only to sections 2.8 and 2.9 above, the Member in Waiting with the earliest acceptance date shall be given first priority. The Management Committee may at its discretion vary the priority of acceptance of Members in Waiting to full membership in those very limited circumstances in which strict application of Sections 2.9 and 2.10 would cause undue inconvenience by delaying admission.
2.11. Membership. Full membership in the Club shall occur only after the Member in Waiting pays the required annual dues, in full or pro-rated, and he/she is duly inducted at an induction meeting of the Club membership. Induction meetings will be held three times a year at the December, April and July meetings.
